About Provotar

Provotar is an open-source SAAS platform that aims to ease voting and collation for small-medium scale polling bodies and organisations.

The company set out to cut carbon footprint and promote transparency in small to medium scale elections, while providing innovative solutions for every stage, from onboarding and managing voters to collation and result declaration.

Business Goal

The voting process is almost always associated with physical and financial strain for all stakeholders. Electoral bodies often spend millions on materials and manpower to drive election processes. The idea of e-voting itself is not a novel concept, however there are very few to no options to offer a clear seamless path for organisers and voters.

The company set out to build a secure and open-source platform for small and medium scale organisations like schools to easily plan and organise polls, collate results from anywhere in the world.

Research and User Insight

In addition to insights received from the business stakeholders, I and a team of designers and product managers conducted surveys and one-on-one with governing bodies of schools/enterprises and active voters. The goal was to better understand how they hold and plan polls, how frequently and challenges faced at all phases.

Combining business and research insights, we found the following facts

  • - Most small-medium organisations often hold between 2-10 polls annually.
  • - 40% use internally built e-poll tool to host and manage polls.
  • - Some recently had their devices stolen.
  • - Organisations often have more sub-level/department polls and less top level polls.

Some of the challenges we received include

  • - Complex and tedious process of onboarding and managing voters.
  • - Long voting and collation period.
  • - Transparency in poll process and results.

Design Goal

The insights from our research helped me craft user stories tailored specifically to the business goals and target market. Some key user stories include

As a poll admin, I want to be able to

  • - transfer/invite voters in bulk via CSV or emails.
  • - create an automated scheduled poll that also handles communications.
  • - manage voters and track vote status and periods.

As a voter, I want to be able to

  • - track live poll counts and statistics.
  • - vote securely with 2FA authentication from anywhere.
  • - Receive comms and updates on vote progress and results.

Solutions (Diners)

Account and Authentication

Poll Admins can create an account with multiple organisations under each account and multiple polls under each organisation. This makes hosting multiple polls under sub-departments easier to manage and organize. Sign ins after a prolonged period or from a different device prompt 2FA Auth flow.

Poll Creation

To quickly get new users started, we curated short tutorial clips for setting up an organisation, inviting voters, creating and manage polls. Admins can create multiple positions and candidates under each positions. On creation, every poll is automatically set to “In-active” state.

Invite and Manage Voters

The poll creation process was separated from voter invitation mainly to allow poll admins focus on a task at a time and prevent errors. Invites can be sent in bulk and error checks to catch duplicate emails. Admins can track and monitor vote status and vote time for visibility and easier forensics if needed.

Voting Flow

Invited voters receive mails with a 6-digit token and a unique link to verify their identity when a scheduled poll commences. After voting, participants can check and track election progress, stats and get notified when a candidate has emerged winner.

Impact and Learnings

Since the Provotar received relatively great adoption and has since onboarded 250 organisations, 100 polls hosted and tens of thousands of votes cast since it’s beta launch. We have seen higher adoption in schools and colleges and more use cases for sub-level (department) polls.
